Job Summary:
We are seeking a highly organized and detail-oriented Real Estate Office Administrator to support our fast-paced real estate office. The ideal candidate will be a self-starter with excellent communication and multitasking skills. This position requires a proactive approach to managing office operations, supporting our real estate agents, and ensuring a smooth and efficient workflow. The Real Estate Office Administrator will play a key role in maintaining client relations, handling administrative tasks, and contributing to the overall success of the office.

Key Responsibilities:

  • Serve as the first point of contact for clients and visitors, providing exceptional customer service.
  • Manage phone calls and correspondence (e-mail, letters, packages, etc.).
  • Support real estate agents with administrative tasks.
  • Maintain an organized filing system for all real estate transactions and client records.
  • Assist with marketing efforts, including social media management, preparing marketing materials, and listing promotions.
  • Handle office inventory and order supplies as needed.
  • Process real estate forms, agreements, and contracts, ensuring all paperwork is accurate and filed promptly.
  • Liaise with external partners, such as mortgage brokers, home inspectors, contractors, and attorneys, to ensure smooth transactions.
  • Perform basic bookkeeping tasks and assist with billing and invoicing.
  • Implement and improve office policies and procedures to increase efficiency.

Requirements:

  • Proven experience as an office administrator, office assistant, or relevant role in a real estate setting is preferred.
  • Strong understanding of real estate operations and listing procedures.
  • Excellent organizational and time management skills.
  • Outstanding communication and interpersonal abilities.
  • Attention to detail and problem-solving skills.

Job Type: Full-time

Pay: $18.00 - $20.00 per hour

Expected hours: 30 – 40 per week
